WHAT WE DO
Project-Specific Xactimate Estimate Preparation

Exactimators provides professional estimate-writing support for restoration contractors, public adjusters, and property owners throughout the United States. We organize documented repair work into clear Xactimate line items, quantities, notes, and location-specific pricing.
Our services support residential, commercial, and multifamily projects involving roofing, exterior systems, interior repairs, mitigation, reconstruction, and coordinated multi-trade scopes. Each assignment is developed around the documented conditions and requirements of the individual project.
With more than 15 years of combined construction and estimating experience, we understand how materials, trades, access requirements, equipment, work sequencing, and field conditions can affect the development of a repair scope.
Every assignment begins with the measurements, photographs, inspection notes, existing estimates, and supporting information supplied by the client. When important information is missing or unclear, we identify what is needed before it affects the completed estimate.
When included in the agreed project scope, applicable code provisions, manufacturer requirements, and other supporting documentation may be incorporated to explain or support specific estimate items.
Before delivery, each completed estimate is reviewed for scope consistency, quantities, organization, and formatting. The result is a detailed, project-specific estimate prepared to support project planning, bidding, and claim documentation.
Estimate-Writing Support for Industry Professionals and Property Owners
Contractors

Turn field measurements, photographs, inspection notes, and existing scopes into an organized Xactimate estimate. Our service supports project planning, bidding, production documentation, and restoration-related estimate preparation while reducing the administrative workload placed on contractors and their teams.
Property Owners

Receive a detailed estimate for documented property-loss repairs, reconstruction planning, or comparison with an existing scope. Exactimators organizes the submitted project information into a clear report without inspecting the property, interpreting coverage, or negotiating the claim.
Public Adjusters

Obtain technical estimate-writing assistance based on the measurements, photographs, field scopes, and supporting documentation provided. The public adjuster remains responsible for property inspection, policy interpretation, claim advocacy, and settlement negotiations.
ESTIMATING CAPABILITIES
Xactimate Estimates Across Trades and Project Types
Exactimators prepares estimates for single-trade repairs and coordinated multi-trade restoration projects. Each scope is developed from the project documentation provided and the services included in the agreed assignment.

Roofing and Exterior Systems
Asphalt and metal roofing, siding, gutters, downspouts, windows, doors, exterior trim, flashing, ventilation, and related exterior components.

Mitigation and Remediation
Water extraction, demolition, drying equipment, containment, cleaning, labor, material handling, and other documented mitigation operations.

Interior and Reconstruction
Drywall, painting, flooring, cabinetry, trim, framing, electrical, plumbing, insulation, and other documented interior or structural repairs.

Tree, Debris, and Specialty Operations
Tree removal, debris handling, temporary protection, access requirements, equipment, scaffolding, and other project-specific operations supported by the submitted documentation.
Exactimators can organize these components into a single project-specific estimate when a loss or repair project involves multiple trades, structures, units, or phases of work.
WHY PROFESSIONAL ESTIMATE WRITING MATTERS
A Clearer Path from Project Documentation to a Finished Estimate
Restoration projects can involve measurements, photographs, inspection notes, existing estimates, material requirements, multiple trades, and location-specific pricing. Professional estimate preparation brings that information together into an organized project scope.
Consolidated Project Information
Measurements, photographs, notes, and supporting documents are organized into one structured estimate rather than remaining scattered across different files and communications.
Location-Specific Estimate Preparation
Applicable Xactimate pricing information is selected for the property’s location so the estimate reflects the appropriate regional pricing database.
Construction-Informed Scope Organization
Construction experience helps organize documented repair work around applicable trades, materials, access requirements, equipment, and work sequencing.
Clearer Review and Communication
Organized line items, quantities, notes, and supporting information make the completed scope easier for contractors, property owners, public adjusters, and other authorized parties to review.
Exactimators does not replace the client’s property inspection or responsibility for verifying field conditions. We transform the submitted project documentation into a detailed, organized estimate based on the agreed assignment.
How Our Estimate Writing Process Works
1. Submit
Send the available measurements, photographs, inspection notes, existing estimates, scope information, and supporting documents through the project-contact or intake form.
2. Review
We review the submission for the information needed to prepare the agreed estimate. If important details are missing or unclear, we identify what is needed before estimate preparation proceeds.
3. Estimate
The documented repair scope is organized into applicable Xactimate line items, quantities, notes, and location-specific pricing based on the services included in the assignment.
4. Review & Deliver
The completed estimate is reviewed for scope consistency, quantities, organization, and formatting before being delivered in the agreed format.
Revision support is limited to the terms and original scope of the assignment. New damage information, changed measurements, added trades, revised client instructions, or newly submitted documents may require an updated fee and delivery schedule.
NATIONWIDE SERVICE
Remote Estimate Writing with Location-Specific Pricing
Exactimators serves contractors, public adjusters, and property owners remotely throughout the United States. Project documentation can be submitted electronically, allowing us to prepare estimates for properties in different regions without requiring an onsite visit.
Because labor, material, and equipment pricing varies by geographic market, each assignment uses applicable Xactimate pricing information for the property’s location. This helps align the estimate with the appropriate regional price list while maintaining a consistent estimate-writing process nationwide.
The client remains responsible for inspecting the property, documenting field conditions, and confirming the accuracy and completeness of the submitted project information.
NEXT STEPS
Choose the Right Way to Get Started
Whether you need a new project estimate or already have an estimate that may require additional review, select the option that matches your current situation.
Have an Existing Estimate?
Submit your current estimate and available project documentation for a free preliminary review. We’ll identify whether the estimate appears to warrant a more detailed scope review, correction, or supplement.
No obligation. The preliminary review is not a complete estimate, supplement, coverage determination, or guarantee of additional payment.
Need a New Estimate?
Tell us about the project and submit the documentation currently available. We’ll review the initial information, explain what else may be needed, and provide the appropriate next steps for the assignment.
