Exactimators (“we,” “us,” or “our”) operates the website located at https://exactimators.com (the “Site”). This Privacy Policy explains the types of information we may collect, how we use and protect it, when it may be disclosed, and the choices that may be available to Site visitors and clients.

When you submit a contact, project-estimate, or free-estimate-review form, we may collect:
- Your full name, company name, email address, and telephone number
- The property ZIP code or general project location
- Project type, estimate type, and preferred contact method
- Insurance-company and claim-number information you choose to provide
- Project descriptions, questions, and concerns about an existing estimate
- Uploaded estimates, photographs, measurements, scopes, and other supporting documents
- Your acknowledgement of the limitations stated on the applicable form
Please do not submit Social Security numbers, payment-card information, account passwords, or other information that is not reasonably necessary for us to evaluate or perform the requested estimate-writing service.

When you visit our Site, certain information is collected automatically through cookies and third-party analytics tools, including:

5. Data Retention
Contact Form 7 transmits submitted form information through the Site’s email system. Exactimators does not use Flamingo or another form-inbox plugin to create a separate searchable archive of submissions in the WordPress database.
Outgoing website emails and related delivery information may be temporarily stored in GoSMTP email logs for up to one month for delivery verification and troubleshooting.
Received inquiries, uploaded documents, email correspondence, and related records may be retained in Exactimators-controlled email accounts or business files for as long as reasonably necessary to:
- Respond to the inquiry
- Evaluate or perform the requested service
- Maintain project and communication records
- Satisfy accounting, legal, security, or dispute-resolution needs
- Establish, exercise, or defend legal rights
Information that is no longer reasonably necessary may be deleted or anonymized, subject to legal obligations and routine backup or technical-retention cycles.
Google Analytics information is retained according to the settings of the connected Analytics property and Google’s applicable policies.
6. Data Security
Exactimators uses reasonable administrative and technical measures intended to protect information submitted through the Site. These measures include HTTPS encryption, authenticated SMTP email delivery, restricted WordPress administrative access, software maintenance, security controls, and hosting backups.
Access to submitted project information is limited to persons who reasonably need it to respond to an inquiry, evaluate an assignment, perform requested services, maintain the Site, or satisfy legal and business obligations.
No website, email system, file transfer, or electronic-storage method is completely secure. Although we take reasonable precautions, we cannot guarantee absolute security. If you believe information submitted through the Site may have been compromised, contact us promptly.
7. Children's Privacy
Our Site and services are not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will promptly delete it.
